Position Overview
We are looking for a highly organized and energetic Event Coordinator to join our Real Estate & Workplace Services (REWS) hospitality team at a client site. This role is central to delivering best-in-class, unique experiences for employees, executives, customers, partners, and guests.
As the Event Coordinator, you’ll support all event requests and oversee the live execution of programs ranging from executive receptions and partner events to employee gatherings. You’ll collaborate closely with the Workplace Services team, multiple departments, and external vendors to ensure every detail is managed with precision, aligned with the client’s standards, and executed seamlessly.

Responsibilities
Lead the delivery of exceptional guest experiences across executive, customer, and employee events at a client site.
Demonstrate strong customer service and executive presence during live events.
Manage multiple simultaneous events with strong multitasking and prioritization skills.
Ensure event execution reflects the company brand and design standards, including photography guidelines.
Oversee logistics for customer meetings, company-wide programs, and live events.
Manage on-site event compliance with Health & Safety and Global Security & Safety standards (documentation such as COI, PLI, SWMS, Risk Assessments).
Use ticketing systems, templates, and run sheets to manage events end-to-end.
Coordinate external vendors, contractors, and agencies during live events.
Provide support for additional tasks and projects as requested by management.
Maintain flexibility to work evenings, weekends, or after-hours as required for event execution.
Required Skills & Experience
Proven experience in event operations or event coordination, ideally within a fast-paced corporate or hospitality environment.
Strong problem-solving ability and calmness under pressure during live events.
Exceptional customer service skills with confidence in executive-level interactions.
Ability to multitask and manage competing priorities with attention to detail.
Collaborative mindset with strong vendor and stakeholder management skills.
