Job Description
The Vehicle Dispatch Coordination Specialist is responsible for managing and updating vehicle dispatch schedules to ensure timely and accurate delivery to dealers. This role coordinates with internal teams and external partners to resolve issues, monitor dispatch data, and maintain system integrity. Through active communication and close monitoring of system data, the specialist supports smooth handover operations and high visibility of dispatch readiness.

Education
Minimum Bachelor's degree, preferably in related field.
- Manage and update vehicle dispatch schedules in internal systems accurately and timely.
- Ensure dispatch-related data is properly reflected across systems and that upload processes are completed without error.
- Validate actual vehicle handover against planned timelines to maintain operational integrity.
2. Dealer Query Platform (DQP) handling & communication
- Act as the primary contact point for dealer inquiries related to vehicle dispatch status and handover readiness via DQP.
- Review incoming inquiries and coordinate with internal stakeholders to provide clear and timely responses.
- Monitor issue trends and escalate critical problems to relevant departments for resolution.
3. Dispatch coordination with stakeholders
- Communicate regularly with dealers, logistics providers, and internal stakeholders to align on dispatch timing and handover readiness.
- Support issue resolution for delayed, misrouted, or problematic dispatches through cross-functional coordination.
- In case of exceptions, coordinate with relevant parties to identify the root cause and implement appropriate solutions.
4. Operational reporting & improvement support
- Generate dispatch status and exception reports to improve visibility and monitor performance.
- Analyze recurring issues and propose improvements to dispatch processes or system handling.
- Support implementation of process updates or system enhancements in collaboration with IT and process owners.
Education
Minimum Bachelor's degree, preferably in related field.
Minimum Requirement
- 3+ years of experience in automotive logistics, inventory management, or related supply chain roles
- Hands-on experience with vehicle status tracking systems or ERP platforms
- Prior involvement in cross-functional coordination with sales, logistics, and field operations teams
- Experience in analyzing and reporting stock-related KPIs and operational data
- Good communication, analytical and problem solving skills with very high technical and quality managerial abilities.
- High level of leadership and communication skill to cooperate with service providers and business partners
- Good analytical and problem solving skills which are essential
- Strong Team spirit
- Proficiency in English (Speaking/Writing)
